THE GRAND LOBBY & PLAZA TERRACE

Capacity: 375 reception I 250 seated​

The museum's dramatic Grand Lobby showcases granite floors beneath a magnificent 23-foot Sol LeWitt masterpiece, while floor-to-ceiling glass walls create a captivating dialogue between Charlotte's urban sophistication and your private celebration. The adjacent Plaza Terrace, sheltered beneath a striking cantilevered gallery, features the whimsical Firebird sculpture as a conversation piece for al fresco entertaining. This premier combination offers the ultimate in versatility-seamlessly transitioning between intimate indoor refinement and open-air elegance, accommodating your guests' every preference with uncompromising style.

THE SCULPTURE TERRACE

​Capacity: 50 reception I 30 seated

Perched on the second floor, this sophisticated outdoor sanctuary provides commanding views of the Levine Center for the Arts and The Green Park. An ideal setting for intimate cocktail soirees, wine tastings, rehearsal dinners, or exclusive board dinners where privacy and prestige are paramount.

EVENT COORDINATION

The Bechtler Museum of Modern Art maintains an elevated standard for all private functions, working in close collaboration with clients to ensure seamless execution. Our Events Team serves as your primary liaison, coordinating facility logistics, safeguarding our distinguished collection, and facilitating communication between all parties.

 

Our Events Team is present to assist in the functions' logistics, protect the museums' facility and collections, and act as a liaison between renter's vendors and museum staff. The museum reserves the right to review and approve all event plans, including entertainment and decorative elements, to ensure alignment with our institutional standards.

 

GALLERY ACCESS

Gallery viewing requires additional arrangements beyond the standard venue rental. Your guests may explore the galleries independently, or you might arrange for private tours for them.

INVITATIONS & COMMUNICATIONS

All promotional materials-whether printed or digital-featuring the Bechtler Museum of Modern Art name, logo, or address require prior institutional approval. This includes invitations, advertisements, digital communications, and any form of public announcement. Requests to feature museum photography or images of our iconic Firebird sculpture must be submitted to events@bechtler.org at least one week prior to distribution.

MUSEUM STORE SERVICES

Our curated museum store offers distinctive keepsakes that extend your guests' cultural experience. Our Events Team is pleased to assist with gift selection and presentation services. Special orders may be arranged in advance to provide your attendees with memorable mementos of their museum experience.

DECORATIVE ELEMENTS & SIGNAGE

All decorative materials, signage, and floral arrangements require prior approval from our Events Team. This policy protects both our architectural integrity and priceless collection. All botanical elements must be inspected for pests prior to installation.


Other prohibited items:

  • Adhesive materials or fasteners on any museum surface

  • Open flames, including tea lights and candles

  • Confetti, glitter, rice, bubbles, or birdseed

  • Helium balloons and flammable props

  • Live animals (service animals excepted)

  • Ice sculptures and water features

CULINARY SERVICES

Beverage Service: As holders of an exclusive ABC permit, the Bechtler Museum provides all alcoholic beverages for private events. Bartenders, glassware, non-alcoholic beverages and bar mixers are not included. These can be arranged through Something Classic.

 

Dining Restrictions: To preserve our collection, food and beverage service is restricted to designated areas outside the galleries. Our kitchen facilities operate as aII cold kitchen II without cooking capabilities. Sterno usage requires individual approval from our Events Team and requires on-site supervision by our culinary team.

 

Outside Food Policy: Guest-brought food and beverages are not permitted.

 

LOGISTICS & OPERATIONS

Vendor Coordination: A comprehensive vendor list must be submitted one month prior to your event. All deliveries and equipment removal require coordination with our Events Team and must utilize designated areas along Levine Avenue of the Arts or South Tryon Street with proper permits.

Outdoor Events: Weather-dependent decisions regarding plaza and sculpture terrace service remain at the museum's discretion, prioritizing guest safety and municipal compliance. Entertainment on outdoor spaces must adhere to Charlotte's Noise Ordinance, evaluated case-by-case.

PHOTOGRAPHY GUIDELINES

Flash photography is prohibited within gallery spaces to protect our collection. Flash photography is permitted in the Lobby, Plaza, and Sculpture Terrace areas. Drones cannot be used anywhere inside the museum building.

 

SECURITY & CONDUCT

Firearms are strictly prohibited on museum premises. Smoking and vaping are not permitted anywhere on the property, including all outdoor areas adjacent to the building. Due to alcohol licensing requirements, casino-style or other gaming activities are not allowed.

LIABILITY

The Bechtler Museum of Modern Art does not assume responsibility for personal items left on the premises before, during, or after your event. We recommend guests secure their belongings accordingly.

Indemnification: To the fullest extent permitted by law, the client shall indemnify and hold harmless the Museum, its Board of Directors, officers and consultants, agents and employees from and against any and all actions, claims, lawsuits damages, losses, expenses, and liability for death, injury or alleged injury to any person, including but not limited to attorney's fees, which arise in any manner, or are alleged to have arisen, from the acts, omissions or wrongful conduct of the client, in connection with client's occupancy, or authorized or unauthorized use of the Museum's premises.

 

Pricing is not finalized until the contract has been signed. Any requested revisions to the contract or policies and procedures could result in additional fees to cover cost incurred by the Museum.​
